Why Schools Need Email Archiving

by Robin , on 16. March 2011 16:36 Permalink | Comments (0)

London, UK - All schools must comply with regulations regarding the retention, security, and accessibility of electronic communications, notes Cryoserver, the email archiving software company.
However, educational institutions sometimes don't understand that they must comply with email retention regulations - or they do not have the staff time to handle these obligations.

The Cryoserver email archiving appliance can be the solution to these problems. Like an airplane"s "black box" data recorder, Cryoserver's compliance solution supplies a thorough, secure, tamper-evident repository of all emails sent into or out of an organization. Organizations can purchase Cryoserver as an appliance or a software program - and it fulfills legal requirements for the long-term safekeeping of e-documents.

"Most schools are sending and receiving hundreds of emails a day," explains Robin Bingeman, from the Cryoserver email archiving manufacturer.  In the U.S., the privacy of students' emails is regulated by the Family Educational Rights and Privacy Act (FERPA), so schools must find a way to keep these emails secure. Cryoserver's archiving software is a simple way to securely store thousands of emails.

Schools are also subject to regulations governing the maintenance of employment records. "Emails regarding human resources and personnel records must be kept private and secure," notes Bingeman, from the Cryoserver archiving appliance company. "Employment records must also be maintained in case of legal action. If an employee sues the district, the school will need to produce records - including emails - regarding actions relating to the employee." Cryoserver's email archiving software provides a tamper-evident, secure repository for all emails in an organization.

Another big issue for schools today is cyber-bullying and racist incidents - issues which could arise between students or between students and staff.  "It is vital that schools maintain and secure email records so they can monitor potential incidents," says Bingeman.
Schools also have the ordinary, everyday needs of retaining email records in such a way that emails can be easily retrieved if necessary. Cryoserver automatically and efficiently stores all of an organization's emails - and makes it easy to retrieve them again.
